Requisition ID 98821 Job Category : Business Operations / Strategy; Human Resources; Legal; Maintenance / Construction / Operations Job Level : Individual Contributor Business Unit: Gas Operations Job Location : San Ramon Department Overview Gas Operations is focused on ensuring the safe and reliable flow of natural gas to our customers. As a whole, Gas Operations is responsible for all aspects of PG's gas distribution and transmission operations, including planning, engineering, maintenance and construction, restoration and emergency response. Position Summary The position is responsible for the administration and cost booking for Gas Operations construction and support contracts. The administrator will be responsible for ensuring contract costs are booked accurately and timely; booking accruals; invoice processing and validation; contract terms compliance; and early payment discount (EPD) achievement. Job Responsibilities Prepares ARIBA Purchase Requisition Requests, Contract Change Orders, CWA's and other SAP documents. Receives and reviews contract invoices and coordinate authorization for payment; and oversees the maintenance of project files. Ensures contracting activities are in accordance with MSA Audits the contractor spending internally and externally, if needed, to assure accuracy. Billing Compliance: Audits project invoices to ensure billing amounts are consistent with negotiated terms and conditions of the contract. Resolves contract-related issues concerning invoicing. Monitors invoice charges by line item work tasks to ensure correct assignment. Monitors accruals and assist analysts in preparation of quarterly reporting. Works with Project Managers, Procurement Specialists, and Contractors to ensure all parties adhere to contract requirements and specifications. Manage contractor relationships to continually improve quality, service and cost. Change Orders: Reviews validity of Change Order Requests from contractors, and negotiates co-terms and amounts. Responsible for contract costs are booked timely and accurately, requesting monthly estimates, working with the LOB on approvals, and booking the accruals and GRs. Completes assignments of moderate scope and complexity Recommends methods, approaches and tactics to resolve problems and obtain solutions. May participate on project teams Oversees records management and contract tracking systems, including excel, ARIBA, SAP Coordinates invoice processing with actual work performed. Manages contractor relationships. Ensures accurate financial contract costs are accounted for in a timely manner, comply with Sarbanes Oxley Standards. Works with Project Managers, Sourcing, and suppliers to identify and manage contract issues; ensures all parties adhere to contract requirements and specifications, confirms the supplier delivered on contract commitments. Qualifications Minimum: BS degree in Construction Management, Supply Chain Management or Business Administration or equivalent work experience Two years of construction contract negotiations and administration experience
